It takes a village to grow a successful harvest. With Heirloom’s team management tools, you can now invite collaborators to your farm and assign them specific roles with appropriate permissions.
This tutorial will walk you through the process of inviting collaborators to your farm in Heirloom.
Accessing the “Team” Section
There are two easy ways to access the “Team” section within Heirloom.
- Click on your profile picture or initials, located in the top right corner of the interface. This will open a dropdown menu where you can select “Team.”

Inviting a New Collaborator
Inviting a collaborator to your farm allows them to actively participate in various aspects of your farm’s operations. This includes collaborating on essential tasks such as crop planning, managing your crop map, planning harvests, and overseeing daily tasks, among other things.
Follow these simple steps:
- Locate the “Invite Growers” button in the top right corner of the “Team” page. This will open a pop-up window.
- A pop-up window will appear, prompting you to enter the email address of the person you wish to invite to your farm. Once you’ve entered the email, select the appropriate role for this collaborator from the dropdown menu.

- You collaborator must click on the link in the email in order to accept the invitation and get access to your farm.
Accepting an Invitation
Once you’ve done all these steps, accepting an invitation is simple from the collaborator’s perspective:
- The invited collaborator will receive an email containing a unique link to accept the invitation.
- Once they click the link and accept the invitation, their status in your “Team” section will change to “Active” and they will be able to access the farm according to their assigned role.

Understanding the different roles
When you invite a collaborator to your farm, you’ll have the opportunity to assign them specific privileges that determine their level of access and control. This allows you to tailor their permissions to their role and responsibilities within your farm. Choose carefully, as these privileges will shape what they can and cannot do within the system. Don’t worry too much about getting it perfect right away, though; you can always modify a collaborator’s role later if needed.
Here are the possible privileges for a collaborator:
- Owner: This role has complete access and control over all aspects of the farm, including account settings, team management, and billing information.
- Administrator: The administrator can manage most areas of the farm, with the exception of billing and certain team-related settings.
- Crew Manager: This role is primarily focused on managing crop planning and tasks within the farm.
- Crew Member: A crew member can manage tasks assigned to them but has limited access to other features within the system.
- Reader: This role has view-only access to crop planning and tasks, allowing them to stay informed without making changes.
